10 Top Event Tech Problems & Solutions for 2019

Did you know that experiential marketing and event marketing are a top priority for 93% of companies? And successful events need the right tools for the job. It’s no wonder why event technology managers are so busy these days. As the demand for events increases, so will the likelihood of these killer (but totally solvable) problems. Here’s what you can expect and how to deal with it at your next event.

Chances are you face one (or more) of these issues every time you go to plan an event. So make sure you bookmark this page and reference it the next time something comes up.

1. Slow event registration processes are often a problem for event technology managers.

Problem: Did you know that 72.5% of events professionals agree that the check-in process needs to be improved? Long lines, lost data, and ticketing mistakes are all the result of a messy system. Which is why event technology managers need to adopt the right tools in order to keep things moving along.

Solution: Every efficient event check-in process uses the following tools: a great app, an event management solution, and a device to host it all on. The best devices to replace paper and pencil event check-in include iPads with or without kiosks, depending on if you’d like to use staff at the entrance. But really, any tablet will do.

2. Technology adoption is a common issue for event technology managers.

Problem: What’s the point of renting great equipment if your event planners or staff aren’t utilizing their new tools? Whether it’s an aversion to change or simply lack of familiarity, event technology managers often receive push back on great product rentals. In fact, studies have shown that event technology adoption can increase attendance by as much as 20%. It can also decrease costs (at about 30%) and increase productivity towards goals (at 27%).

Solution: If you see this problem coming up, try partnering with a technology rental company that is dedicated to helping your team adjust. Together you’ll be able to create a simple solution for communicating the importance of the technology and how users can quickly get started with using it.

3. Venue Wi-Fi issues are a common headache for event technology managers.

Problem: Nearly half of all event planners (44%) name Wi-Fi the top most annoying issue in event spaces. It can also create issues for speakers and presentations as well as interfere with other rented gadgets. Which is why it’s important for event technology managers to test connectivity from all major areas of the venue ahead of time.

Solution: The good news is, 5G is on the horizon and it has some promising benefits for event planners. Which means you should prioritize venues that offer it, especially if you’re hosting more than 100 people. You can also use a free internet speed check app when you do your walk through. Use your findings to adjust your event design as needed.

4. Live stream video or audio issues are often a problem for event technology managers.

Problem: Video Wall marketing  is trending right now with 82% of surveyed consumers claiming they’d much rather see a video than a photo post from brands they shop with. Besides breaking news, conferences rank as the best event type to live-stream. However, if there are issues with the image or sound, 62% of consumers say they’d have a negative perception of the brand. Given the popularity of the medium, this is clearly a high stakes issue.

Solution: Besides having a backup camera to capture the moment for sharing at a later date, event technology managers should make sure to do a practice run of any live stream presentations. You can also caution your marketers to have an alternative plan for that live stream segment just in case. Let them know which areas of the venue have the best connectivity so that they can film the replacement content from that location in an emergency.

5. Laptop or tablet failures at the event itself can be a stress for event technology managers.

Problem: Faulty units, outdated software, and repair mishaps can all cause unexpected issues for event technology managers that day of the big gathering. These issues often occur when they choose to work with less experienced or unverified event technology suppliers.

Solution: Again, it’s important that you work with an event technology management company you can trust. And while it’s not possible to prevent every possible issue, the company you rent from should be able to help service or replace your products in person (or, at the very least, over the phone).

6. Effectively collecting attendee data is an issue for event technology managers.

Problem: For 68% of B2B event planners, lead generation and capture is the main reason why they do live events in the first place. The problem is they have to rely on user input for a lot of their information. Which means planners need event technology managers’ help to seamlessly incorporate manual entry without disrupting the attendees’ experience too much.

Solution: Whether or not the event host has a branded app they’re using to collect data; event technology managers will need to rent the right tools to use the apps on. If your client needs to survey guests with 5 questions or less, try using iPads, tablets, or laptops for employees to use when talking to attendees.

If your client needs user to fill out longer forms, go one step further and rent kiosks too. They’ll be more comfortable, help service attendees faster, and gives the user enough room to relax and take their time.

7. Finding the right technology supplier is time consuming for event technology managers.

Problem: Sometimes your team needs last minute rentals. Or you find yourself overwhelmed with other projects and don’t have time to vet every possible option. Besides online reviews, how are event technology managers supposed to choose a vendor they can trust?

Solution: Keep a few key parameters in mind when selecting a technology supply partner for your next event. These guidelines will shorthand your search and help you choose the best possible option every time.

First, consider their location. The closer their rental locations are to your venue, the better. This is still true for multi-city events and roadshows so make sure you find a supplier that can provide service within close proximity to your chosen destinations for every day of your get-together.

Next, check out their inventory. A wide variety of brand name and cutting edge options is a good indication that the supplier will have everything you need. Plus, they’ll be able to provide great recommendations and give your ideas for a given budget.

Then, see how fast they get back to you with a quote. The goal is to receive swift and efficient communication within 48 hours of your original inquiry. Being able to quickly respond to messages shows that the supplier is dedicated to customer service and can be available if you need them on short notice for anything else.

Finally, compare the prices. It’s an obvious addition but it’s important to consider this one last because the above parameters will help make sure your investment is worthwhile in the first place. If all the other criteria are checked off and the event supplier you’re vetting can still provide the most competitive price, then you’ve got yourself a winner.

8. Asking for (and receiving) custom specifications is a hassle for event technology managers.

Problem: Sometimes suppliers can’t accommodate special requests. Or they’ll try to but fail to deliver. Not only is this frustrating for event technology managers, it also means hours of back and forth wasted only for them to start over from scratch in the end.

Solution: The promise of amazing customer service should be a top buying consideration before you ever make your event rental purchase. Ideally, you’ll want to always partner with a brand who can work with any special requests and still deliver product quickly. In fact, you can even expect some event technology suppliers to hand deliver your custom models in some cases.

9. Merging event technology tools with big picture strategy can be an issue for event technology managers.

Problem: Seeing the big picture is a great skill to have for any project. But when it comes to making decisions like what tools are best for certain goals, most planners aren’t sure what’s best. Often, event technology managers will have to explain why copying a direct competitor isn’t necessarily the best solution for certain spaces and planned activities. Which means it’s up to you to explain why the products you’ve suggested renting are best.

Solution: If you’re really having trouble communicating value to your event team members, ask your supplier to help out. Chances are they’ll have case studies from customers who rented the same equipment for similar events. Or they might even be willing to speak to your colleagues themselves. Whatever the case may be, looping your potential supplier into the conversation will help everyone make better, more informed choices.

10. Dealing with tech delivery issues, mistakes and miscommunications.

Problem: Event technology managers cannot afford to waste rental funds on missing or mishandled equipment. Plus, tracking down the responsible party and fixing the issue isn’t exactly built into the event schedule. This is especially true if you’re expected to remain onsite to check out equipment, provide tech assistance. And answer general questions for presenters.

Solution: Accidents happen. But they don’t have to ruin your event or sabotage your technology rental experience. Even if the worst case scenario happens, working with the right event technology supplier will help relieve the repercussions. Which is why you should take care to only work with a partner who values customer service and can demonstrate that through their actions.

Now you’re ready to face most of your biggest technology challenges!

All in all, your event technology rental experience will only be as good as your supplier. Working with dedicated professionals who act as partners rather than vendors is a big step towards solving most major problems you’ll face on the job. Here are some other great takeaways to keep in mind the next time you deal with one of these killer problems all event technology managers face:

  • Know what to look for before you select an event technology supplier. Customer service, proximity to your venue, and a wide selection are the biggest points for consideration. Also, make sure whoever you work with sees themselves as a partner for your event and not just a vendor.
  • Make sure you learn your event technology supplier’s last minute or day-of event availability. Whether you need more tools or assistance setting up, can your supplier help you when you need them? Or can they offer the latest, cutting edge solutions to combat common venue issues like slow Wi-Fi or live streaming issues?
  • Help event planners and decision makers think ahead when it comes to possible venue and technology issues. Ask your event technology supplier to be part of the conversation. Or use their materials to prove investment value.

Your Complete Guide for How to Effectively Train Employees with Technology

Did you know that 68% of workforce believes training employees and skill development is the most important benefit their workplace can offer? Here’s everything you need to know about training employees  in a modern setting, along with some best practices and tips on how to use advanced technology to maximize your investment.

Training Employees : The Nitty Gritty

You probably already know that employee training and development are all the ways in which you can help your staff learn new skills, gain industry knowledge, and brush up on their techniques. But did you know that businesses who prioritized employee training saw a 24% increase in profit margins on average when compared to companies who didn’t invest in this strategy? Besides supporting bottom line objectives, consistent employee training actually improves their overall engagement, builds trust, and ultimately leads to lower turnover rates.

But in order to reap all of these rewards, employers will have to do much more than simply host a presentation or share a slide deck. These outdated formats are not only less effective, they fail to take modern team structures into account, leaving behind remote or mobile employees. A simple solution for the modern day workplace? Technology of course!

The top benefits of combining employee training with advanced technology

Besides being far more effective, the use of technology in training provides tangible benefits such as:

  • Getting Millennial and Gen Z employees up to speed using tools they are already familiar with.

In recent years, studies have shown that Millennials in particular are likely to leave a position within two years if they are unsatisfied with how their skills are being developed. To put that into perspective, it can cost anywhere between $4,000 to $8,000 to hire one employee after spending roughly 42 days to do so. In order to get the most out of your investment into these resources, it’s important that you invest in training that helps make your employees more well rounded.

Humans spend a great deal of their lives at work and their level of enjoyment while there can impact their performance. Employee training helps people feel like their role is important for the bigger picture. But it can also help them bond with teammates and feel more connected to the brand’s core values. All of these factors make up a healthier office environment which leads to happier, more engaged employees.

Technology used for employee training helps standardize the process and, even if they’re not all in the same room, shared experience is psychologically proven to bring people together, giving them a common touchstone regardless of where they are located, how long they’ve been in the industry, or what position they hold. And while you can try to replicate in-person training at every office, there’s no real way to track progress or make sure the experience is uniform for each group, eliminating the shared experience factor from the dynamic.

  • Aligning right-on-time training with individual employee development.

Group employee training can still have fantastic effects on individual growth. Because employee training technology is so easy to use and highly accessible, managers can provide these lessons ahead of big events, as a refresher mid-quarter, or any other time their team’s skills will be put to the test. But technology also allows managers to alter individual tracks, so when certain employees begin the training they can also receive bonus modules or quizzes on things relevant to their unique position.

Removing Barriers for Employees with Disabilities

Whether or not your employees are officially registered as disable, tools like the ones mentioned below help level the playing field and boost the success of your team as a whole. By providing these technologies, you create avenues for social good and personal fulfillment as well as improved business performance, a true win-win scenario.

And as you can see from this image, training and workshops are a must for employees to achieve their full potential. With these major benefits in mind, let’s take a closer look at some best practices you can use to guide your next steps.

Best Practices of Training Employees

Besides integrating advanced technology into employee training you should also make sure to do the following:

  • Blended learning led by individual instruction via live stream can help surpass challenges presented by teams with employees from diverse backgrounds, educations, and cultures.
  • Your training method must be based on concrete and achievable goals that go beyond simply hoping your employees will learn a new skill from it.
  • Present learning opportunities in a variety of ways so that employees can learn in a format that makes the most sense to them. This, of course is possible through the use of employee training technology.
  • In order to host an effective training, you must understand your audience. Before you schedule the training, be sure to go through your invitation list and conduct a training audience analysis. The information you gather will help form your strategy moving forward.
  • Mobile friendly training and development tools are a hot trend in this arena right now and are expected to remain one of the more popular options for a while. They help managers incorporate relevant social media features, gamify progress, and create smaller, easier to digest lessons.

Once you’ve got these modern employee training tips down, it’s time to take a closer look at ways to get the most out of you and your team’s investment.

6 Powerfully Effective Ways of Training Employees Through Technology

You can use any one of these tools to supercharge your training methods or combine them as you please.

1. VR & AR as a Training Tool

 training employees with technology

Virtual reality employee training is now available to businesses in any industry. Big brands like Walmart have already adopted this technology and other successful companies are following suit. Research has shown that VR & AR can actually help new hires get up to speed in half as much time as it would take without using them, so it makes sense why this trend is catching on.

But VR & augmented reality training might not be for everyone. It’s worth considering the serious downsides presented by this tool, which are mostly the fact that it’s not really that scalable and some people still get motion sickness from it. Either way, virtual reality gadgets are continuing to improve with more and more companies finding creative uses for it (including nursing homes in this article that are making their residents’ lives better).

2. iPad & Tablet Based Training

Source: Twitter

Your employees probably have these types of devices at home for personal use, so the learning curve on this technology is practically nonexistent in this day and age. Even today’s schools are finding ways to help educate their students through iPads. Apple products in particular are helpful for employee training because they can easily sync up with other brand devices like computers and phones. So no matter where employees are in their training, they can just pick back up on another platform without missing a beat.

If you’re going to use tablets of any kind in employee training, keep these tips in mind:

  • Pair a Learning Management System with your device. Make sure it has a responsive design, especially if you expect employees to transition unfinished training to their home environment after work or when they’re on the go.
  • For this type of device, eLearning modules are your best bet. They enhance learner engagement and can make use of re purposed training content (like videos) to deliver bite-sized, easier to absorb lessons.
  • If your team has mostly of non-desk employees, you should definitely be using these tools. Retailers of all kinds are finding that iPads and tablets used for employee training work best in this type of environment.

3. Desktop Computer & Laptop Training

Whether you use an app, a native program, or a cloud-based software, employee training through these desktop computers and laptops have a lot of benefits. And while these tools aren’t exactly new (personal home computers have been around a little over 40 years now) not every office can buy enough computers or laptops to offer each employee their own device for training, which is why technology rental is an attractive option for any budget.

4. Mobile Phones as a tool for Training Employees

If employees are reimbursed for using their own mobile phones during training, you can implement a BYOD (bring your own device) policy for these sessions. Otherwise if data security is a concern or if not everyone on your staff has access to market-leading mobile phones, it’s worth investing in some rental equipment for this particular tool.

There are some really awesome ways to use mobile phones for employee training. From on-boarding to soft skills to compliance, the options are endless. Because mobile phones are a highly portable solution, you can either use them as your sole training device or combine them with desktop or laptop computers so employees can learn on whatever is most comfortable for them. But mobility is especially important for traveling sales teams or any profession where companies train employees in the field.

5. Software Based Training

It’s affordable, convenient, and engaging. No matter what training software you use, you’ll still need to use one or more devices to help facilitate the use of it. One of the major advantages of using software based training in addition to videos or eBooks is the ability to measure and track progress. Some programs are injected with AI, which means they can do things like create individual lesson tracks as the user progresses through the course.

AI can also help gather information to create reports on overall team progress. Managers can then assess this data and look for trends, weaknesses, and patterns to better inform future lessons, creating a constant cycle of improvement that will both future-proof the businesses themselves and improve the baseline performance quality of teams as a whole.

6. Using Video Walls in Training Seminars

Source: Twitter

Experts predict that video walls will become a more integral component of office settings both in terms of customer interaction and internal procedures. In addition to impressively filling lobby spaces with targeted marketing content, there are lots of other creative uses for this technology.

Video walls can support your business goals in a variety of ways and employee training is certainly one of them. Besides cutting down on physical handouts, video walls can show info in real time, simultaneously display different information across multiple screens. And it can provide touchscreen options for presenters. Furthermore, video chat technology allows instructors to control the video wall remotely.

  1. Audiovisual Training Using Interactive Screens

Audiovisual technology is a proven tool for increasing workplace productivity in the modern office. Not only is it cost effective, it can also help make employee training gain 24/7 access to materials, walk through product demos, and work as a team with remote staff.  The reason why interactivity is so important in employee training is because it introduces flexibility to the process.

With audiovisual employee training tactics using interactive screens, managers can effectively:

  • Provide learning simulations in which knowledge is absorbed but also directly applied. This helps with deep learning, also known as someone’s ability to retain, apply, and improve on knowledge held long term.
  • Implement pop quizzes as needed, measuring comprehension in real time. If you find that employees just aren’t getting it, you can maximize training ROI by altering the lesson as you go or postponing the module until they’ve mastered this subsection.2. Projector and Video Conferencing Presentation for Employee Training

Projectors are practically synonymous with education. But today’s advancements in projector technology is worlds ahead of where it was a decade or two ago. In fact, projectors are now considered one of the cornerstones of office equipment that are absolutely essential for employee training

Beyond common sense benefits (larger, more visible screens and affordable equipment) projectors are also critical for another tool we’ve briefly touched on: video conferencing. Whether you’re training office teams across the country or saving on travel expenses, video conferencing offer budget-friendly effective methods for employee training.

Now you’re ready for some practical application!

Once you’ve mastered your employee training strategy with some help from advanced technology, be sure to catch up on other tech trends you might be missing out on. And don’t worry if you don’t own any of the tools mentioned above. You can always rent them through RentiPads. Our helpful team of professionals can help guide you through the process and help you determine the best tech for your employee training needs.

10 Select Event Tech Trends That Matter in 2019

Did you know that 91% of tradeshow attendees say a great booth has a heavy influence on their buying decision? But with competition growing more and more each day, brands are finding that the old ways just aren’t cutting it anymore. Which is why learning about and implementing event tech trends (like the ones featured in this article) is so important. Now that 2019 is halfway over, it’s time to update your B2B event practices so that you’ll remain highly competitive at events for the rest of the year (and beyond).

10 Select Event Tech Trends That Matter in 2019

Where We’ve Been

In recent years we’ve seen an emphasis on creating B2B event experiences that break the mold. In 2017 hosting events at nontraditional venues and placing an emphasis on local flavor was the norm. Marketers were sure that attendees were bored with the old model and that revolutionizing the whole system was necessary. And they’re not wrong.

It worked – for a couple years.

Today we see that it’s not about overthrowing these highly trafficked and in demand event types for something new altogether. Instead it’s about creating a revolution from the inside out.

While some event goals will still benefit from going against the grain, it’s time for brands to get back on track and provide excellent, high-quality experiences in the traditional structures audiences know and love.

As you can see from today’s trends, we now have plenty of great tools at our disposal for creating memorable and exciting interactions between buyers and sellers. Taking advantage of the event technologies currently on the market is promising for the present (and future) of our industry.

Where We Are Now

Future trends in event planning have already been predicted by industry experts. And they all seem to fall within the three main focus points of B2B event planning this year, which you’ll see as categories below. Now without further ado, here are 10 event trends you should consider investing in sooner than later.

10 Event Trends for 2019: Key Technology Rentals You Need at Events

Immersive Experiences

Immersive experiences at trade shows really took off this year. Previously we’ve seen a lot of talk about live streaming and connecting fans to social media with real time incentives during the course of the event. And while these methods are still great for engaging fans, nothing beats the magic of a true immersive experience.

Technologies that make this all possible are more available and easier to access than ever. Which is why you should consider incorporating one or more of these event trends into your next corporate get together:

      1. Projectors

Projector rental will quickly become more and more popular as trade show audiences look for new ways to interact with brands in this new age of entertainment and business. From business meetings to booth displays, projectors make for a practical and highly interesting addition to any event marketing design. Companies like RentiPads offer a wide variety of projectors as well as installation options. If you’re not sure which projectors are right for your event, don’t be afraid to ask our team for their professional opinion and we’ll point you towards the best equipment possible.

     2. Voice Tech

We already know that voice activated technology will change content marketing but it’s very promising for live, in-person events too. They’re useful for running booths as well as creating experiences for guests. And if you’re looking for some creative ways to use it, the voice first events market has more than doubled in the U.S. since last year, so you’ll find plenty of great ideas from leading brands who host and participate in them.

     3. 360 Degree Experiences

Creating original content isn’t a trend we see dying off any time soon. But thanks to 360 degree videos, your brand can still stand out from the crowd. To create a 360 degree experience, you’ll need to:

  • Start with an on brand concept that is both entertaining and aligns with your specific event goals.
  • Hire a film crew, coordinate shoot dates, and secure one or more locations.
  • Coordinate voice-over work and special effects (if needed).
  • Design navigation interfaces.
  • And, for brands selling physical products, 3D modeling of the featured item(s).

It’s a lot of work but the pay off is high. If you don’t have any experience creating content like this, you can always hire a professional team to do it for you.

Wow Factors

There are some event features that truly leave a mark on audiences. They’re the ones that attendees talk about when their colleagues ask how the experience was. Memorable and creative, event wow factors are usually created by – you guessed it – event technology.

And because today’s event goers need something a little extra special to make the whole event really pop, it’s no wonder why these event trends are so popular right now. Here are the ones you really need to know (and consider using) for your next event:

      4. Digital Kiosks

Digital kiosks are both event branding and live demonstrations of apps, videos, and more. They can also be used to engage audiences, conduct guest surveys, display product models, and collect newsletter sign ups. Basically anything you’d want to do or share at your event can be completed with the help of digital kiosks, which is why this highly versatile product is so in demand for event rentals this year.

     5. LED Video Walls

Video walls are an impressive addition to any trade show or conference booth. They catch the eye, prompting guests to stop and watch what’s on the screen. You can display advertisements, product or service demos, customer testimonials and more. Even if you don’t have a large event coming up soon you can easily rent LED video walls for your next presentation or training seminar.

    6. Touch Screen & Smart TV Monitors

Whether you need a 90” TV monitor display for your next conference appearance or a 5’ x 4’ touch screen wall, these elegant presentation tools will enhance thousands of event booths, seminars, and VIP experience lounges throughout the year. Rent a monitor for your next event to see the difference.

    7. Digital Signage

Kiosk displays are far more interesting than traditional booth signage and give you plenty of marketing options to boot. They’re easy to set up, fit well into most standard booth dimensions, and allow you to feature videos or images not otherwise displayed at the event. They also have a small footprint and are very portable, so it’s an easy transition to make should you want to start using them.

The Millennial & Gen Z Difference

Millennials now make up the majority of the corporate workforce. As a result, they’re changing the face of B2B marketing. And Gen Z is set to take over the majority of the market by the end of the year. Which means you’ll need to adapt your event strategy to include these demographics if you haven’t already.

Looking at the known values these two generations hold, it’s no surprise why the following trends are here to stay:

    8. Sustainability Tools

Efficient use or management of food, beverages, water, energy, and waste are all the rage with the younger set these days. When thinking about event design, your plan should include at least two significant sustainability initiatives. Regardless of your event budget, there are plenty of ways to incorporate these practices.

   9. Augmented Reality

AR can be used at your trade show booth to educate and entertain your audience all at the same. Whether it’s a product tutorial, a clever optical illusion, or a memorable piece of branded content, AR opens up a lot of opportunity for creative marketing. Basically anything you can do with VR, you can do with AR, it all just depends on your goals.

  10. Apple Products

iPads and iPhones are near and dear to the hearts of Millennials. In fact, Fortune named it the number one brand the people of this generation are most emotionally attached to. So in addition to be highly convenient, easy to use, and impressive to customers, using iPads at your next event might score you brown points with the Millennials because they love Apple so darn much.

Having covered these main trends worth buying into for the year, here are some honorable mentions worth knowing about. They’re all interesting and practical additions to standard event practices that will probably become more popular as time goes on.

5 Bonus Event Trends: 2019 & Beyond

You might already start seeing these tools and trends before the year is over, if you haven’t already.

     1. Facial Recognition

Increased security has become a priority for any gathering space in the U.S. Facial recognition technology can be used to streamline the check-in process and keep the guestlist tidy. Zenus Biometrics is one of the many companies who now specialize in this type of software, most of which is specifically created for events and event venues. To use the technology, guests just have to walk up to a kiosk, smile when prompted, and confirm that their photo matches the name that comes up on the screen.

   2. Improved Language Translators

If your business wants to grow B2B sales online and in person, you need to have a language solution available. Thankfully, however, when it comes to communicating across language barriers, brands and event planners have a lot of options these days. Live, in-person translators, mobile apps, and handheld devices are all viable solutions at a multilingual event, you just have to pick one that fits your budget. The good news is that recent developments in the language tech world have yielded some incredibly cost effective results, which you can search for on sites like G2Crowd, where real users have rated, ranked, and weighed in on each solution’s pros and cons.

   3. RFID Tech

RFID (which stands for radio-frequency identification) are said to improve event guests’ experience – all they have to do is scan their badge, card, or wristband and they’re all checked in. Many events (like the ones on this list) are already using the technology and seeing positive results. Besides convenience, RFID technology also helps provide real-time guest data insights, allows guests to go cashless, and can be used as engagement tools for games or contests through your sponsors.

  4. VR Venue Walkthroughs

Event venue trends in 2019 have changed the way guests experience events but they have also transformed how planners organize them. The traditional event planning process involves a thorough walkthrough several months or up to a year in advance of the event to make sure all the structural and procedural needs of the event will be met. They often require event planners to travel and can be tricky to schedule.

But because the event venue is a huge factor in the gathering’s success, it simply must be done, regardless of how expensive or time consuming it is. Nowadays, however, some venues are giving event planners the option to do a virtual walkthrough thanks to VR technology and the power of 360 degree video. This revolutionary event planning practice is just one of the many ways the craft will evolve in the upcoming decade.

 5. Gaming Laptops

Gaming laptops have gained popularity with gaming enthusiast and are particularly in great demand at events for networked games. These are very high end laptops with special graphics and very high resolution screens. Event Technology rentals specializes in custom laptops for gaming. Laptops for games are juiced up with additional memory to support multiple players. To rent gaming laptops, contact dedicated sales team at companies specializing in events.

Main Takeaways: Event Technology Trends

Regardless of which trends you plan to adopt, there are certain key ideas you can take away for all your corporate event ideas moving forward. Whether you’re hosting a conference or renting a booth at a trade show, keep these trending practices in mind:

  • Don’t be afraid to try new gadgets. Most event budgets have room for at least one of the above suggested event tech solutions. Commit your brand to trying out one new tool per event and you’ll always be ahead of the curve. Making it a habit ensures that you and your team will continue to educate yourself on these topics while also keeping an eye out for the products that best serve your target audience.
  • Think outside the box to achieve event goals. A lot of these trends are brand new and there’s still plenty of room for discovery with each one. Creatively problem solve with the above technology and you’ll be considered a true innovator.
  • Always include the interests of your key demographics when planning your events. Forward thinking event planners and marketers recognize that, even if Millennials and Gen Z aren’t their current target, there might be generations that come after them that will love their products. Lay the groundwork now by adapting to these trends if you want to maintain the test of time.

At the end of the day, event trends only matter if you use them. For more on what types of event technology rentals are available, check out everything RentiPads has to offer.

How to Select the Best Video Wall Rental for Events

Best Video Wall RentalThe display technology has transformed how we digest information and one of the many reasons why we endlessly scroll down timelines on image-rich social media platforms. The rise of our dwindling attention spans means that businesses have to work much harder to get that message heard during a keynote or make their trade show booth stand out on a busy exhibition floor. But how did we get here?

More two billion images are uploaded and shared online every day. To put that figure into perspective, it equates to one trillion images each year. Another staggering stat is that the time it takes to blink your eye is a speedy 100 milliseconds. But your eye and your brain can process an image in an incredible 13 milliseconds.

These are just a few examples of how the rise of the visual technology is creating a series of both challenges and opportunities for businesses. LED Video walls are proving to be an increasingly popular way to bring to ensure your company message is brought to life through images or video footage at any event or even meeting room.

Best Video wall rental has made it easy for businesses to create a bespoke solution and provide the wow factor to digital natives. Renting a video wall also takes away the expense and hassle compared to owning your equipment. However, before rushing to rent a video wall, there are still a few things that you need to understand.

The Importance of Video Walls for Events and Meetings

Before looking for any tech solution, it’s crucial to understand what problem we are attempting to solve. When renting a video wall, you will still be looking for ROI and ensuring that it helps you reach your business goals. The good news is that video walls can bring any event or meeting to life with the right content.

Renting an interactive touch video wall is perfect for prestigious corporate meetings and can help your audience visualize and explore big data in an engaging way. Some companies have been known to take it a step further and build a collaboration system that unites information on a single shared visual platform with colleagues that are in the room and even enable them to access it remotely. The only limit is your imagination.

It is well documented that many people are either addicted to staring down at a screen or find it difficult to resist its shiny allure. The big screen monitor displays dominates almost every aspect of our lives, which means that wherever you place a video wall, it will quickly become the centerpiece of attention. We seldom stop to think just how versatile and effective a video wall is to digital experiences that we take for granted.

Have you ever watched a sports team or band in a sold-out arena of 14,000 people? Did you stop to notice how video walls have the power to captivate the entire audience? Exhibition show floors also contain hundreds of almost identical trade show booths. Once again, it’s those that add visual elements that stand out from the others and capture our attention without us even realizing it.

Audiences at conferences, meetings, sports games, and concerts have all enjoyed digital content experiences. The problem for you is that this has now become their standard expectation for every event and will expect your business to deliver its message in a visual, and compelling way. Before rushing into anything, it’s crucial that you understand your options and what is the best solution for you and your event.

Types of Video Walls: LED vs. LCD

Best Video Wall RentalLCD (liquid crystal display) is a flat display that most people traditionally associate with video walls. We are also surrounded by LCD screens in our lives. Everything from the ubiquitous smartphones capturing our attention to our computer monitors in the office and the TV set we return home to in the evening are often LCD screens.

High-resolution technology helps bring LCD video walls to life too. Images, digital signage, corporate messaging, images, and video can all be displayed to an audience visually. However, upon closer inspection, the more tech-savvy might notice that tiled together LCD screens also have visible seams between each screen. Direct View LED offers a more seamless display type, but the size of the venue and distance between the visitor and the screen will play a significant factor in your preferred choice.

For example, in a location where there is a small viewing distance, crisp HD & 4K graphics designed by your digital team will look stunning up close on an LED screen. But if you wanted a video wall 30 foot up a wall that you wanted the entire show floor to see, the rental of an LCD screen would be much more suitable and affordable.

The content you intend to display along with the size and location of your venue are just a few factors that will help you decide your next move. But, the LED vs. LCD debate can be complicated. We have a team of visual experts that can answer any questions or concerns that you might have and ensure that the choice you make will meet your objectives.

Things to Consider When Thinking About Renting Video Walls

You have decided to rent a video wall. But, now what? Here are a few other things to consider when choosing the right solution for your unique requirements. Before getting involved in a lengthy debate about the pros and cons of options around LED and LCD video walls, you and your team have a few questions you need to answer.

Will your screen be located inside or outside? Do you know how big the screen needs to be, or do you need advice? What is the exact location where you want the video wall to be installed? How big do you expect your audience at the event to be? The environment of where you intend to showcase your video wall will play a significant factor in how a team will advise your next move.

A common mistake that many businesses make when thinking about renting a high-tech video wall is that they forget about the content. The content you intend to display is possibly the most crucial decision that you will make when renting a video wall. Even the most expensive high-tech LED video wall in the world will not be able to bring lousy content to life. The content creation process and knowing what you want to display will help ensure you choose the right video wall to meet your objectives and deliver ROI on your video wall hire.

Video Wall Applications & 4k Digital Signage

4K Display RentalAlmost every venue that you visit will feature some kind of  Video walls with 4K digital signage. Video walls can capture the eye of passers-by in ways that can difficult to replicate with anything else. Despite being bombarded with information and a stream of notifications on our devices, a glance at a video wall enables businesses to deliver its message effectively and faster than the blink of an eye.

Businesses also have the option to bring data to life with greater visualization and collaboration tools. But this is just scratching the surface of the possibilities that renting a video wall can unlock. A quick look around at your current surroundings will reveal how video walls already impact your life both in and outside of the office.

It’s no accident that video walls now dominate the walls of malls, airports, universities, and hospitals. Everyone is struggling to stand out from the crowd and make their voice heard. Video walls offer businesses something more substantial than a single display at conferences, trade shows, live events.

Although we have all seen video walls at concerts, conferences, and stadiums, the technology is also used in areas that we don’t get to see. For example, video walls are a big hit with security teams who can monitor crowds, infrastructure, or capture information during a developing situation.

The most important thing to remember when thinking about renting a video wall is that it can be used for almost anything you can imagine. Your only constraint is not the technology, but your imagination. A video wall is a business enabler that will help you create high-resolution experiences that will ensure your message stands out from the crowd. So, make sure you get that message right.

How to Attract Trade Show Visitors and Convert Them as Customers

How to attract trade show visitors is a great challenge facing exhibitors of all sizes. Choosing to exhibit a trade show involves a considerable investment for your business. There are often several must attend shows every year that provide you with an opportunity to deliver a message to the right people and stand out from the crowd. An exhibition booth can deliver both new leads and added exposure for your business. Your mission is simple- attract & engage more attendees to your booth to secure valuable leads. And hopefully better ROI from exhibiting at the event. Attracting a trade show audience and converting them as customers may sound easy in a meeting room, but the show floor is very different.

How to Attract Trade Show VisitorsBefore you can engage with people at your trade show booth, you need your presence to stand out from your competitors. In a digital age, you will need more than freebies such as mugs, pens and other items for attendees to fill their swag bags. Your exhibition booth will need to have a visual appeal and interactive content by leveraging technology to match their evolving expectations. A quick look around at any exhibition show floor around the world will reveal a tech-obsessed audience staring down at a screen. Smartphones, tablets, laptops and searching for Wi-Fi are top of their agenda. For your event to be successful, technology must also play a significant part in bringing your booth to life.

It has never been easier to rent all the technology that you need for the duration of an event. Here are a few examples of how technology can transform the trade show experience that you deliver to attendees.

Rent Touch Screen Displays

Touchscreens are a great way to increase traffic to your exhibition stand. They are also a fun way to create interactive promotions. By renting a touchscreen display, it becomes easy to capture information from attendees while also offering them with the chance to win a prize instantly.

How to Attract Trade Show Visitors Delivering the right message to the right person at the right time is paramount. Touchscreens can also help you filter your audience at trade shows through a series of questions. For example, a survey could begin by asking the participant if they use your products and services or your competitors. With a little imagination, you can guide each attendee through a meaningful set of questions based on their profile.

Remember, you don’t need to blow your budget to bring your exhibition Booth to life either. The ability to rent a variety or touchscreens and solutions enables anyone (including your competitors) to leverage engaging technology. Renting touchscreens for the duration of the event not only saves your budget but it also provides peace of mind with round the clock support.

Renting iPad Kiosks

Securing a space on any trade show floor can be an expensive commitment for your business. Ensuring that you enjoy a successful show and enjoying well-earned ROI for all your hard work requires more investment too. When looking to maximize your trade show marketing investment, you’ll need to be creative if you want to secure the attention of your attendees.

How to Attract Trade Show VisitorsThere is a good reason that iPad kiosks are increasingly dominating trade show floors. It has never been easier to rent hundreds of iPads and bring your trade show booth or event to life in a myriad of ways through kiosk apps.

An iPad kiosk will come in many forms. It could be stored on a kiosk stand, wall mount, or even a tabletop stand. The display features and intuitive design make it easy to showcase marketing material and attract people to your stand and automatically interact with them too.

The iPad is possibly the most flexible and easy to use technology that can really make a difference to the success of your trade show attendance. Seamless promotion through sales videos, prize giveaways, event registration, photo slideshows, surveys, recruitment forms or even increase the number of subscribers to your newsletter are all easily unlocked.

When it comes to iPad kiosks, the only limitation is your imagination and creativity. Any number of iPad kiosks can be rented for just a few days, so you have no excuse for not having an engaging booth at your next event.

Rent Digital Kiosks

Are you serious about attracting the attention of your customers and getting them to choose your booth over 200 others? If you are, it will need to stand out from the crowded show floor. Digitally branded kiosks are needed to deliver impact and encourage visitors to engage with you and your brand.

How to Attract Trade Show VisitorsDon’t make the mistake of taking a small screen that looks big in the office but looks painfully out of place at a trade show. You don’t get a second chance to make a first impression so don’t use your moment trying to persuade potential customers to huddle around a tiny screen.

You should have a simple aim of getting people to your digital kiosk to learn more about you. A combination of a digital kiosk and video is becoming the secret ingredients to capturing the attention of customers. But your branding should always feature at both the top and the bottom of your video. This simple act is often referred to as “book-ending” and one of the most critical steps in ensuring visitors digest your message and remember you.

The rise of the experience economy is making the renting of digital kiosks to be an easy decision to make. Interactive digital kiosks are the unsung heroes of many booths that make it easy to create both immersive and engaging experiences for visitors to your exhibition booth.

Lead Capture Apps and Devices

The success of your trade show attendance will ultimately be determined by how many leads you secure. Many businesses are guilty of attending the same events year after year and reluctant to move away from their preferred lead capture method. But, it’s crucial to remember that our world has changed dramatically in the last few years. Many booths are creating experiences and Instagrammable moments and secure leads without the attendee even realizing it. Give your visitors a reason to reach for their phone and share their experience at your stand. By contrast, paper forms and business card exchanges are beginning to look a little tired and lazy in an increasingly digital world.

Many event organizers will enable you to hire badge scanners that make it easy for your staff to hoover up leads quickly. The problem is that post-event follow-up can be delayed. While you wait for the organizers to forward on your valuable data, the moment has already passed. Attendee’s expectations have risen dramatically in the last few years, and timely follow-up and personalized communication are now expected as standard. These are just a few reasons why we make it easy for exhibitors to transform their lead capture by leveraging the latest technology and solutions.

There are hundreds of apps that enable businesses to actively track leads at every trade show they attend. However, knowing what will work and what won’t be is both daunting and intimidating, not to mention stressful. We not only understand the latest trends but can also share our experience as to what apps and devices offer the best results at trade shows. According to Capterra one of the best App is Regpack in lead capture technology.

By renting the right technology for your event, you can quickly determine which trade shows are most valuable to your business.

Rent LED Monitors

If you are serious about giving your stand the wow factor, a giant LED Monitor will ensure you get noticed. But, most importantly they also play a crucial role in educating visitors about your products, services and delivering your message. Traditionally, designing and building your Booth, working with graphics teams along with building and taking down your Exhibit are notoriously expensive. Thankfully, it has never been easier to find a more cost-effective solution by renting LED Monitors and have access to almost any technology for just a few days.

How to Attract Trade Show VisitorsLED screens can provide a myriad of display and exhibition options. Banner stands, modular displays, and multimedia displays are just a few examples. With so many affordable options, the only constraints are your imagination. By renting trade show display equipment, you can bring your vision to life and help place your brand at the heart of any trade show. Those who want to think bigger can also rent a video wall to deliver an audiovisual impact on the audience. Exhibition show floors are a battleground in a war for the attention of visitors. A traditional print-based trade show display cannot compete against LED Screens and video walls.

LCD Monitors and Projectors

The inconvenient truth is that an analog mindset will not deliver results with tech and experience obsessed visitors in a digital world. With attention spans at an all-time low, modern audiences are demanding a more sensory experience that will capture their curiosity. Bringing these experiences to life involve several technologies such as LCD monitors, PA systems, and projectors. A trade show rental service provider can not only supply the right technology for the duration of your next event. But they will also offer support too.

As an exhibitor, you have enough things to worry about how to attract trade show visitors and implement sophisticated technologies. A support partner can not only bring your show to life but also remove any concerns or stresses. You do what you do best and let us do what we do best to ensure you secure the ROI from your investment.

How to Attract Trade Show Visitors? Just Create Experiences

Creating a huge display and sticking the company logo on it is no longer going to cut it in a digital world. You will need creativity and technology to capture the attention of potential customers, attract footfall, and start meaningful conversations. It is often said that the rise of the experience economy is making experiences more important than the transaction itself. Exhibitors that are creating innovative event experiences and adding Instagrammable moments to their booths are securing the attention of tech-obsessed attendees.

Digital VR experiences are proving to be the missing link between a business and its potential audience at exhibitions. Rather than standing at an empty booth handing out tote bags, mints, and t-shirts, think about how technology can deliver experiences to attendees that will stay with them on the long drive or plane ride home. In a large exhibition hall, there will be hundreds of stands that all look remarkably similar. How will you leverage technology to make visiting your booth a memorable experience?

Every area of our lives both in and out of the workplace has been influenced by technology. Brands such as Apple, HP, Dell, Lenovo, Microsoft, IBM and many more all offer products that we have come to rely on to reach our personal and business goals. The ability to leverage these products on an as needed basis is proving to be invaluable. Short term rentals of essential technology products by day, week or month is being embraced by businesses of all sizes. But, rentals are not just for conferences and exhibitions. Companies are also turning to technology rentals for everything from training, software testing, presentations, sales demos to market research projects.

However, it’s important to remember that it’s not just about the rental of laptops, smartphones, tablets, and projectors. What makes any team successful at trade shows and conferences is not the technology, but people. Having access to 24/7 tech support when inside a busy venue, is essential to overcome any tech issues that you might encounter such as event network feeds.

When the show opens, you won’t have time to troubleshoot tech issues. And why should you? Renting technology equipment enables you to pass the responsibility over to a tech expert that will get you up and running and save you any unwanted stress. If you need any further advice on the speediest way to get hold of the latest technology products for your conference, trade show, or event without breaking the bank, please contact Raj at Aria.

The Experts Weigh in on 2019 Technology Rental Trends

According to experts featured in BizBash, the year 2019 is evolving to be a big year for trade shows technology rentals. There’s plenty to get excited about. Vice President Jeff Chase said sustainability will be embraced with the design of equipment used at trade shows. Popular structures, such as LED back-lit smart fabric walls will be a mainstay at many trade shows.

Event technology expert Raj Jain of Aria Technology solutions feels that trade show formats are changing, too. More and More event planners are choosing to replace the old Monitors with latest touch screen display technology that features activities, video content, interactivity and more. This was originated by TED events but is gaining ground at events of all kinds.

Education in the exhibit hall is becoming just as much of a draw as the educational sessions, particularly in tech. Companies traditionally exhibiting large equipment, like computer racks and airplane engines, now have more digital-based products. This is leading exhibitors to have smaller digital demos, featuring the newest digital kiosk equipment that associations don’t show in their training sessions.

And VR coupled with Apple iPhone rental will begin to happen in a bigger way, too — it will become so much more than just a pair of goggles and one experience. Companies will start building a library of VR content for all channels, not just trade shows, giving them a large set of content that can be swapped in and out as needed.
